Answers while the guest is standing there

The guest at 4211 is at the counter asking why they still owe $180 after check-out. The answer is in the folio, and getting to it means knowing which screen holds the routing, what the rate code means, and which posting is the one that did not transfer.

Kept knows all three, because it has read them on your property before, and it reads the live folio rather than a copy of it. The agent keeps talking to the guest while the answer comes back.

Why does 4211 show a balance after check-out?

The $180 is a late check-out fee posted at 14:20, after the folio was settled at 11:05. It sat on window one, and the company card is on window two, so it never routed. Do you want me to move it?

Night audit

The money checked before the shift ends

It is 3am. The arrivals list and the cards on file do not agree, and the shift ends in four hours. Checking every reservation against its own rate plan is the job, and doing it properly on nine properties is longer than the night.

Kept opens all nine at the same time, each on its own local clock, and works its way through every arriving and in-house reservation. It takes the deposits that are clearly due and stops on the ones that are not. What comes back names the property, the reservation and what it found.

Reservations and groups

The typing stops

The rooming list arrived as an attachment on an email. Somebody has to open it, read forty rows, and type each one into the block without transposing a name or a date.

Kept reads the list where it arrived, puts the rows into the block, sets the routing the contract says, and tells you the ones it could not place. It works the same way on the jobs nobody schedules: finding every reservation still sitting on a rate that should have closed, across every property at once.

Accounting

Finds the money nothing reports

A cancelled booking sits with a virtual card that was never charged. No report will tell you, because nothing ever became a receivable. It is only found by opening cancellations one at a time, which is why it is not found.

Kept reads every cancellation since a date you name, checks each against the policy on its own rate, and lists the ones where a fee was due and the card was never charged. It also says where it did not agree with the obvious reading, which is usually the more useful half.

Owners

The pack becomes a question

It is the eighth of the month and somebody is building the owner pack by hand, out of nine systems, again. By the time it lands, the month it describes is a third gone.

Kept reads it out of the systems that already hold it, so the pack you wait for is a question you can ask on any day. Ask a follow-up in the same breath. Save the one you ask twice and it arrives every morning without anybody building it.

You want tonight's occupancy across the portfolio. The only way to get it is to ask nine people, and by the time the ninth answers the first number has moved.

Kept opens all nine at once and reads them at the same moment, so the answer is one picture rather than nine that disagree. Then ask it why, in the same conversation, and it goes back and looks.
